Important: By registering, each participant agrees to join a group-based educational travel program managed by KOA EXPERIENCE S.L., under all rules described here.
Payment plans: Automated (deposit + monthly installments) or manual (3–4 payments).
Currency: Euros (€); any conversion fees are the participant’s responsibility.
Late fees:
- Registration <110 days → €145
- Late payment → €50
- Declined card → €35
Non-refundable: Deposits, optional insurance, admin fees, merchandise, late payments, registration. These fees are never refunded under any circumstances.
Included: Educational program, materials, health & safety measures, group management.
Not included: Passports, visas, extra transport, meals & lodging outside program dates, gratuities, optional excursions, adult room upgrades.
Note: Adults may pay supplements for single rooms. Minors cannot room alone.
- Valid passport, visas, notarized consent forms (minors), and mandatory travel insurance.
- Participants are responsible for medications, vaccines, and medical care.
- KOA will make reasonable efforts for dietary restrictions/allergies but cannot guarantee full compliance.

- Rooms assigned by age/gender; minors cannot room alone.
- Optional twin/single or exclusive rooms available for additional cost.
Land-only option: Participants handle their own flights and ground transport.
- Rules are strict; serious violations (drugs, violence) → immediate removal without refund.
- KOA supervises structured program activities; participants are responsible for their safety during unsupervised free time.
- Participants are expected to act responsibly at all times.
Itineraries, hotels, or activities may change due to circumstances beyond KOA’s control.
Standard cancellation fees:
- 150 days: €399
- 150–110 days: €599
- 109–76 days: 50% + €99
75–31 days: 75% + €99 - ≤30 days: 100%
Exceptional circumstances: Special fees apply.
Optional: Travel Protection Plans (TPP/TPP+ with CFAR) to protect your investment, reimbursing up to 75% of non-refundable fees.
- Participation in physical activities is at the participant’s own risk.
- KOA is not responsible for injuries, losses, or incidents caused by third parties.
- Reasonable accommodations will be made for disabilities, but some activities may not be suitable.
- Participants are responsible for their belongings.
- KOA may take photos/videos for educational or promotional use (parental consent required for minors).
9. Governing Law & Arbitration
- All disputes resolved via binding arbitration in Marbella, Spain, under Spanish law.
- Participants and parents waive rights to a court trial; arbitration is exclusive.
