GENERAL TERMS & CONDITIONS OF TRAVEL PROGRAMS

KOA EXPERIENCE S.L.

Important Information

These Terms & Conditions govern all KOA EXPERIENCE programs. By registering, participants, parents/guardians, and payers acknowledge full agreement with these Terms. Program elements, including itinerary adjustments, may be determined by the Group Leader acting on behalf of the group. Total program fees cover travel, educational materials, group safety measures, and program administration.

Waiver & Release

All participants must complete and sign a Participant Release and Acknowledgment of Risk Form during registration. This form is included within the Combined Travel Contract (KOA-CONTRACT-2026-1). By signing this contract, parents/guardians expressly acknowledge and voluntarily assume all risks associated with participation in the program, including travel, activities, and logistics. This document can be completed online or printed, signed, and emailed to info@koaexperience.com.

The traveler expressly accepts the specific and general conditions of the trip as provided in the pre-contractual information, in accordance with Spanish law, specifically Book IV of Royal Legislative Decree 1/2007 (as amended by Law 4/2022) and EU Directive 2015/2302 on package travel. These conditions are signed by the parties and form an integral part of this contract.

Any disputes shall be governed by Spanish law and submitted to the competent courts in Spain, unless both parties mutually agree in writing to submit the matter to arbitration in Spain under Law 60/2003 on Arbitration.

Participants who decline the travel insurance offered by KOA EXPERIENCE, S.L. must additionally sign the Waiver of Travel Insurance and Release of Liability, as referenced in this document.

1. PAYMENT OPTIONS

We provide flexibility to make our educational experiences more accessible:
4-Step Manual Payment Plan:
    1. Deposit and travel protection plan at enrollment.
    2. 500€ toward the Tour Fee 30 days later.
    3. 75% of the remaining balance 110 days before departure.
    4. Final balance 65 days before departure, payable by credit or debit card. If enrolling 150 days or less before departure, only three payments are required.

      Important: Your account must be fully paid by the final payment deadline; otherwise, your reservation may be canceled

Note: Payments must be made manually; no automatic deductions are applied.

Payment Currency and Conversion

All program fees are listed in Euros (€). Payments in other currencies will be converted to Euros by your bank at the current exchange rate. Please note that your bank may apply conversion fees, which are the responsibility of the payer.

Late payments
  • Late Registration or Payment Fees: A 145€ fee applies if registration occurs less than 110 days before departure.
  • Late Payment Fee: 50€ per missed or late payment.
  • Declined credit cards incur a 35€ service fee.
  • Cancellations and reinstatements after the final payment date may incur a 50€ fee plus any additional airfare costs.
 
Waitlist Policy:

Program space is not guaranteed until your account is fully paid, all required documentation has been submitted and approved by KOA EXPERIENCE S.L., and the official travel contract has been duly signed. Participants placed on a waitlist due to late registration, missing documents, or outstanding balance must follow KOA’s waitlist procedures, which may include additional airline or program fees.

 
Understanding Your Program Fees

The price of your KOA EXPERIENCE program is based on a minimum number of participants. Prices may be adjusted if:

  • The minimum number of participants is not met.

  • Program content or itinerary changes.

  • Circumstances occur beyond KOA EXPERIENCE’s control.

 

Your group may be combined with other groups to meet minimum enrollment, which could include participants of different age levels. If the Program Leader decides not to combine groups and travels with fewer participants than the minimum, an additional cost will be added to your account.

Non-Refundable Fees: Certain fees are non-refundable under any circumstances, including:

  • Trip Protection Program fees (if purchased)

  • Deposits

  • Handling or processing fees

  • Merchandise fees

  • Returned checks or declined credit card/electronic payments

  • Late payment fees

  • Registration fees

  •  

2. What Is Not Included in Your Program Fees

Unless explicitly stated, KOA EXPERIENCE program fees do not cover:

  • Passport or visa costs
  • Optional trip protection fees
  • Baggage charges and porterage at airports or hotels
  • Gratuities for guides or drivers
  • Private or small group fees
  • Expenses during free time or for optional excursions
  • Local transportation to unscheduled activities
  • Travel to the program’s departure point from home
  • Overnight lodging or meals prior to departure or after return
  • Weekend supplements if flights fall on Friday, Saturday, or Sunday

     

Adult Supplements: Adults are typically placed in twin rooms unless a single-room upgrade is requested and available for an additional fee. Depending on the tour type, adult participants may share accommodations with student groups. Beyond twin or single room costs, adults pay a 125€ supplement fee.

3. Program Information

Before departure, participants will receive details on:

  • Flights and hotels
  • Departure and return schedules
  • Packing tips
  • Drop-off/pick-up locations

Accommodation is provided in carefully selected hotels, all with private bathrooms and daily breakfast included.

Hotels are typically located within 45 minutes of the main points of interest in each destination city, ensuring convenient access to scheduled program activities and excursions.

KOA EXPERIENCE S.L. reserves the right to substitute hotels with others of equal or higher standard when necessary to ensure program quality or operational efficiency, at no additional cost to participants.

Note: Flight times, airlines, itineraries, tour leaders, and hotel details are subject to change.

4. Age Restrictions

  • Minimum age: 6 years at the time of departure.
  • Maximum age: No strict limit, but participants 23 years and older pay adult supplements and room upgrade fees based on Double/Twin or Single accommodations.

5. Protecting Participants on Tour

Optional travel protection coverage is available. Participants are responsible for all medical care before, during, and after the program, including:

  • Medications
  • Vaccinations
  • Any other medical treatment

6. Travel Documentation

Participants must secure all required travel documents, such as:

  • Valid passport
  • Visa or transit visas (if needed)
  • Notarized parental consent forms for minors (if applicable)
  • Any required travel insurance

All participants are required to have personal travel insurance covering trip cancellation, medical emergencies, and personal assistance. Participants who do not already have such coverage may purchase a policy directly through KOA EXPERIENCE at the time of registration to ensure compliance with program requirements.

All flight information submitted to KOA EXPERIENCE must match official identification exactly and comply with applicable government requirements (e.g., TSA).

KOA provides online support to keep participant information up to date. It is the participant’s responsibility to ensure all details are current at all times. Any additional costs or fees resulting from incorrect information already submitted to third parties (e.g., airlines, authorities) will be borne by the participant.

KOA EXPERIENCE S.L. is not responsible for errors or omissions in information provided by participants, parents, or Program Leaders, including passport names, dates of birth, or travel document details. Any costs arising from corrections or rebookings due to such errors will be the sole responsibility of the participant or payer.

Failure to travel due to missing identification, passport, visa, or required vaccinations is subject to the standard cancellation policy. Reservations are non-transferable.

7. Optional Accommodations

Participants may request twin or single room upgrades if available for an additional fee.

  • Participants aged 22 or younger will room in same-gender triple or quad rooms.
  • Minors (under 18) cannot room alone.

 

Exclusive Rooming: Program Leaders can select a custom rooming option to ensure the group is not mixed with other participants from other schools taking part in the trip.

 
Land-Only Travel, Optional Excursions, and Special Travel Considerations
Land-Only Option

Some Program Leaders may choose for participants to arrange their own flights and begin the tour at the first hotel of the destination. If you select this option, you are solely responsible for all transportation to and from airports, including ground transfers to meet or depart from the group.

For tours offering this option, your program fee will reflect a discounted land-only rate. You may select land-only travel at the time of enrollment, but all land-only selections must be confirmed before the second payment, which is when KOA confirms that the trip will proceed and secures airline tickets. Requests after this point cannot be accommodated, and additional fees by the airline will apply. KOA will provide advance notice regarding group confirmation.

Important: Land-only participants are responsible for purchasing their airline tickets and managing airport transfers. KOA is not responsible for reimbursement or refunds if airfare is booked before the trip is confirmed by a KOA Account Manager. If you choose the land-only option, the adjustment to the program fee will be reflected in the subsequent payments following your initial reservation.

Land-only participants must be at least 16 years of age on the date of departure. Minors under 18 may only travel under this option if accompanied by a parent or legal guardian who has also registered for the same program and assumes full responsibility for the minor during all transfers and activities outside KOA’s supervision.

Land-only travelers are responsible for purchasing round-trip transportation to and from the first and last hotels of the program and must ensure that their arrival and departure times align with the group’s official itinerary. Participants who arrive or depart at different times must coordinate their own ground transfers and are responsible for any related costs.

KOA EXPERIENCE S.L. is not responsible for missed activities, meals, or services resulting from independent travel arrangements or delayed arrivals under the Land-only option. All participants must submit verified flight information and contact details before the second payment is made. Failure to do so may result in the cancellation of land-only participation without refund.

8. Optional Excursions

KOA EXPERIENCE S.L. may offer optional excursions not included in the standard program. Groups may request to include these excursions at the time of booking or later by submitting a written request (for example, by email). All optional excursions are subject to availability and require a minimum number of participants. If the required minimum is not met, KOA EXPERIENCE S.L. reserves the right to cancel the excursion or adjust the price accordingly.

9. Alternate Departure Airport

Except in exceptional circumstances, closed groups must depart from the same airport. Requests to depart from a different airport may be considered on a case-by-case basis and are subject to KOA’s approval, additional fees, and availability.

10. Travel Outside Scheduled Dates

If a participant travels outside of KOA’s official tour dates, they are fully responsible for all costs. KOA is not responsible for participants during periods not included in the organized program, including deviations, stay-ahead/stay-behind arrangements, or any time without the supervision of a KOA Tour Director.

11. Frequent Flyer Miles

Participants are not eligible to earn frequent flyer miles for flights booked as part of the program.

12. Personal Property

Participants are responsible for all personal belongings. KOA is not liable for loss, theft, or damage to personal items during the program.

13. Travelers with Disabilities

KOA welcomes all travelers; however, tours are fast-paced, involve significant walking, and may be physically demanding.

  • Participants may not be able to fully participate in all activities.
  • KOA is not responsible if service is denied by airlines, hotels, restaurants, or other independent suppliers.
  • Disabilities requiring special attention must be reported at the time of reservation. KOA will make reasonable accommodations.

Travelers needing extraordinary assistance must be accompanied by a paying companion capable of providing full support.

14. Physical Risks and Activity Restrictions

Some activities may be physically demanding. Participants with medical, physical, or psychological limitations should notify KOA at registration. While KOA staff supervise all activities and take safety measures, participation involves inherent risks. Participants assume responsibility for their own safety during these activities.

Many program activities are operated by third-party providers and carry their own insurance coverage. During the conduct of these activities, responsibility for any incidents, accidents, or injuries lies with the activity provider. KOA ensures that all third-party providers maintain appropriate insurance for the activities they offer. Participants are required to follow all safety instructions provided by KOA staff or local suppliers during each activity.

15. Dietary Restrictions and Allergies

Participants should inform KOA of any dietary restrictions or food allergies at registration. KOA will make every reasonable effort to accommodate these needs, though full compliance cannot be guaranteed. This ensures participants’ safety while allowing KOA to manage meals responsibly.

16. Stay-Ahead and Stay-Behind Options

Participants may choose to arrive earlier or stay later than the official KOA EXPERIENCE S.L. tour dates. This option must be requested at the time of enrollment or no later than 110 days before departure, subject to flight availability and supplier approval. Requests received after this deadline may incur additional administrative or fare adjustment fees, or may be denied if operationally unfeasible.

KOA EXPERIENCE S.L. can assist in arranging airline tickets for stay-ahead or stay-behind travelers if requested with the initial payment. However, participants are fully responsible for all accommodations, meals, ground transfers, and supervision outside the official program dates. KOA is not responsible for travelers during unsupervised extensions or deviations from the group itinerary.

Participants under 16 years of age are not permitted to travel independently under this option and must be accompanied by a parent or legal guardian who is also registered for the same program.

Because flights for stay-ahead or stay-behind participants are booked separately from the group, KOA cannot guarantee identical flight itineraries, airlines, or seat assignments, and additional fees may apply due to fare differences or ticketing conditions.

By enrolling, participants and parents/guardians authorize KOA EXPERIENCE S.L. and its representatives to seek and obtain medical care deemed necessary in the event of an emergency, and agree to assume all related costs not covered by insurance.

KOA EXPERIENCE S.L. shall not be held liable for any injury, loss, delay, or cost incurred during independent travel periods not covered by the organized group itinerary. Travelers are strongly encouraged to verify that their travel insurance includes coverage for trip extensions and independent arrangements.

17. Supervision and Participant Behavior

KOA and the the Program Leader establish clear rules and expectations that all participants —students and accompanying adults— must follow. Failure to comply may result in disciplinary action, including removal from the program at the participant’s or parent/guardian’s expense, without refund.

The Program Leader (teacher, administrator, or other designated adult) acts as an independent representative of the group and not as an employee or agent of KOA EXPERIENCE S.L. Any actions, decisions, or instructions made by the Program Leader during the program are carried out under their own responsibility. KOA shall not be held liable for acts or omissions by the Program Leader or other accompanying adults acting independently.

During structured program activities, KOA staff maintain reasonable supervision and take proactive measures to ensure a safe and respectful environment. These measures include careful selection of partner schools, maintaining appropriate chaperone-to-student ratios, and briefing participants and local partners. KOA is committed to preventing harassment, bullying, and behavior that threatens the safety or well-being of participants. Discrimination or harassment based on sex, race, ethnicity, nationality, age, religion, or any protected characteristic will not be tolerated.

While KOA takes reasonable precautions and will investigate and respond promptly to incidents between participants, it cannot guarantee prevention of all conflicts or accidental harm. Parents/guardians acknowledge that participants may interact outside KOA’s control and agree to:

  1. Report concerns or incidents promptly to KOA staff or the Program Leader.
  2. Authorize KOA to take reasonable disciplinary or protective measures if needed.
  3. Inform KOA of any relevant behavioral, medical, or social needs at registration.

KOA and Program Leaders will make reasonable efforts to ensure appropriate supervision and safe group organization during free time. The Program Leader is responsible for overseeing participant conduct and ensuring adequate supervision throughout all activities.

KOA will act swiftly to manage incidents, including notifying parents/guardians, providing first aid or arranging medical care, and cooperating with local authorities when appropriate. 

Except in cases of KOA’s gross negligence or willful misconduct, parents/guardians agree to release KOA, its staff, agents, and chaperones from claims related to interpersonal conflicts or incidents during unsupervised activities. Participants exploring independently during free time do so at their own risk and expense. KOA encourages safe and responsible behavior at all times.

KOA is not responsible for any injury, loss, or damage resulting from the actions, negligence, or misconduct of other participants, including those under the supervision of the same Program Leader.

KOA EXPERIENCE S.L. is likewise not responsible for the acts, negligence, or behavior of other travel groups, guests, or third parties sharing the same hotels, transport, or facilities during the program.

If a participant is late for a scheduled departure, the Program Leader is not required to delay the group.

18. Program Changes

Changes Made by KOA EXPERIENCE S.L.

KOA EXPERIENCE S.L. reserves the right to modify travel arrangements when necessary to guarantee the safety, quality, or proper execution of the program. KOA EXPERIENCE S.L. also reserves the right to adjust the program’s departure or return dates by up to three (3) calendar days, or to modify the order of itinerary elements, transportation schedules, or destinations, when required by flight availability, supplier conditions, or operational circumstances beyond the company’s control. Such adjustments shall not constitute a substantial modification of the travel contract and shall not entitle participants to cancel without penalty. Participants will be promptly informed of any confirmed changes. These operational adjustments are common in educational and group travel programs and do not affect the essential content or overall value of the experience. 

If, before or during the trip, any essential service (such as itinerary, accommodation, transport, or activities) is substantially modified, unavailable, or increases in cost by more than 10%, the traveler may:

• Accept the proposed change; or
• Cancel the contract without penalty within 48 hours of being notified, if the modification exceeds 10%.

For other non-essential modifications, the traveler may accept or cancel within 72 hours of notification. When it is not possible to provide part of the contracted services, KOA EXPERIENCE S.L. shall offer suitable alternatives of equal or superior quality at no additional cost. If no alternative can be provided, or the traveler does not accept it for valid reasons, they are entitled to an appropriate price reduction.

Limitation of Liability

Except in cases of gross negligence or willful misconduct, KOA EXPERIENCE S.L., its staff, and service providers shall not be held liable for any injury, loss, accident, illness, or property damage occurring during the program. The Company’s liability, when applicable, shall in no case exceed the limits established by the corresponding insurance policies and applicable Spanish and EU legislation governing package travel. Parents or guardians acknowledge and voluntarily assume all risks inherent to participation in the program.

Optional Rescheduling / Travel Protection

KOA EXPERIENCE S.L. may work with the Program Leader to reschedule tours when feasible. Any difference in program cost due to rescheduling will be charged to the participant. Participants are encouraged to purchase independent travel insurance to cover medical emergencies, cancellations, or other losses not covered by KOA EXPERIENCE S.L. The Company’s maximum liability under any circumstance shall be limited to the total amount paid by the participant for the program.

 

Changes Initiated by Your Group

Any change requested by the group after registration must be notified in writing to KOA EXPERIENCE S.L. and will be subject to availability and approval by the service providers involved (airlines, hotels, transport companies, etc.).

Payments must follow the agreed schedule; certain fees are non-refundable. Cancellations or modifications by the traveler or group may result in penalties as detailed in the contract and Annex I.

If the group wishes to change the destination or travel dates, KOA EXPERIENCE S.L. will assess feasibility and costs based on supplier terms and applicable regulations. If such changes imply a price variation exceeding 10%, participants may accept the new conditions or withdraw without penalty within 48 hours of notification.

Substituting participants is permitted when the new traveler meets all program and legal requirements, with any extra costs (flight reissue, name change fees, etc.) borne by the group.

All modifications are confirmed only once written acceptance is received from KOA EXPERIENCE S.L. and any additional payments required have been completed.

19. Cancellations and Refunds

Cancelling Your Registration

All cancellations must be submitted in writing by the person listed on the registration form to KOA customer service at info@koaexperience.com and include the account number, registrant name, and full address.

The Program Leader may cancel the program on behalf of the group or any individual participant.

  • Within 24 hours of registration confirmation or initial payment (whichever occurs first), you may cancel for a full refund.
  • After 24 hours, the Standard Cancellation Policy applies.

     

Refunds are issued using the original payment method. KOA accepts wire transfers, debit, and credit cards. Gift or preloaded cards used for payment are at your own risk; KOA EXPERIENCE S.L. is not responsible for lost or destroyed cards.

Standard Cancellation Policy

Program services begin well before departure, and many costs are non-recoverable. Participants may choose to purchase the optional enhanced insurance from Innovac, which provides coverage and permitted cancellation reasons. Please refer to the Innovac policy document for the full list of covered cancellation scenarios.

If no insurance is purchased, the following fees apply for cancellations after the 24-hour grace period (in addition to any Non-Refundable Fees):

  • More than 150 days before departure: 399€

  • 150–110 days before departure: 599€

  • 109–76 days before departure: 50% of total fees + 99€

  • 75–31 days before departure: 75% of total fees + 99€

  • 30 days or less before departure or no-show: 100% of total fees
Cancellation Due to Exceptional Circumstances

If your trip cannot be rescheduled and is canceled due to Exceptional Circumstances, participants who did not purchase the optional enhanced insurance are refunded all payments less Non-Refundable Fees and an additional cancellation fee:
• International air travel: €499
• Domestic air travel: €389
• Domestic bus travel: €189

KOA will not be responsible for any additional costs or indirect losses.

KOA provides all participants with basic group travel insurance through Intermundial/ARAG, which offers essential protection including limited trip cancellation coverage for specific unforeseen events such as serious illness, accident, or family emergencies. 

Participants may also choose to purchase the optional Total Travel Insurance from Innovac/IRIS Global for broader protection, including extended trip cancellation, reimbursement of unused services, higher medical limits, and additional safeguards against travel disruptions and force majeure events. Details of both plans are provided below.

Exceptional Circumstances Defined

For purposes of these Terms, Exceptional Circumstances are events beyond KOA’s reasonable control that make the performance of the trip impossible or unsafe. These include, but are not limited to:
• Acts of force majeure
• Natural disasters, war, terrorism, or criminal acts
• Civil unrest, strikes, or labor disruptions
• Epidemics, pandemics, or government-imposed travel restrictions
• Illness, disease, or medical emergencies
• Safety hazards related to animals, sanitation, or food

KOA shall not be held responsible for any injury, loss, damage, delay, overbooking, mechanical failure, or interruption of transportation, accommodation, or services resulting from such circumstances. In no event shall KOA be liable for indirect, incidental, or consequential losses, including additional expenses, emotional distress, or loss of enjoyment. Participants agree that Exceptional Circumstances do not entitle them to refunds, credits, or compensation beyond what is expressly stated in KOA’s written policies.

20. Insurance and Travel Protection

Protecting Your Investment and General Information

To safeguard your educational travel investment, KOA includes and offers travel protection through two levels of coverage provided by trusted third-party insurers:

 

Basic Group Travel Insurance (included) — Intermundial / ARAG (View summary)

This plan is automatically included in all KOA programs and provides essential protection during your trip.

Coverage includes, but is not limited to:

  • Emergency medical assistance and hospitalization abroad
  • Medical repatriation and early return in case of family emergencies
  • Limited trip cancellation coverage for unforeseen events such as serious illness, accident, or family bereavement
  • Loss, theft, or delay of luggage
  • Travel delay or missed connection
  • Civil liability and legal assistance abroad

This plan offers essential protection for participants, but cancellation coverage is limited to specific qualifying circumstances as defined in the full ARAG/Intermundial policy.

 

Optional Total Travel Insurance — Innovac / IRIS Global (View summary)

Participants may choose to purchase the optional Total Travel Insurance, which provides broader and more comprehensive protection than the basic group insurance included in the program.


It offers similar core travel assistance benefits, along with extended trip cancellation coverage, reimbursement of unused services, higher medical limits, and additional safeguards against travel disruptions and force majeure events.

Coverage includes:

  • Extended trip cancellation and interruption coverage for a wider range of unforeseen events
  • Reimbursement of unused travel services if the trip is interrupted
  • Expanded protection against flight disruptions, overbooking, and force majeure situations
  • Higher limits for medical and repatriation expenses
  • Additional coverage for travel delays, baggage, and accommodation changes

 

The Total Travel Insurance must be purchased at the time of enrollment. Participants should review the full policy terms and conditions issued by IRIS Global for detailed coverage information and applicable exclusions.

 

Important Notes:

  • The Basic Group Insurance is included in the program price.
  • The Optional Total Travel Insurance is available at an additional cost and must be selected and paid for upon enrollment.
  • Participants are strongly encouraged to review their insurance documents carefully to understand coverage limits, exclusions, and claim procedures.
Insurance Coverage

All participants are required to provide proof of valid travel and personal liability insurance covering medical care, accidents, property loss, and travel interruption before the program begins. Participants who fail to obtain or maintain such coverage do so at their own risk and expressly release KOA EXPERIENCE S.L. from any liability for losses, costs, or damages arising from the lack or insufficiency of insurance coverage.

Financial Guarantee (Surety Insurance)

The Agency provides the legally required surety insurance for payments and repatriation through FIATC Mutua de Seguros y Reaseguros, policy number 67-5000949, mediated by CREDICAND SUSCRIPCIÓN DE RIESGOS SL (NIF B-66795242), contact phone +34 933 270 945. This insurance guarantees the reimbursement of payments and repatriation costs in accordance with applicable Spanish law (Royal Legislative Decree 1/2007 and Law 20/2015).

Participants who do not purchase the optional Total Travel Insurance are required to sign and submit a Liability Waiver upon making their first payment. This signed document must be sent to info@koaexperience.com and serves as acknowledgment and acceptance of personal risk during participation in KOA programs.

All third-party service providers (including hotels, transportation companies, and guides) are required to maintain their own liability insurance and to indemnify KOA EXPERIENCE S.L. against any claims arising from their services or omissions.

21. Third-Party Providers

KOA does not own or operate any entities contracted to provide services during your trip, including hotels, airlines, ground transport, guides, excursions, or food providers. All such providers are independent contractors. KOA is not liable for negligent or willful acts, failures to act, or service disruptions caused by these third parties.

22. Arbitration and Governing Law

This section expands the clause contained in the signed Combined Travel Contract.

All programs and agreements with KOA EXPERIENCE S.L. are governed by Spanish law.

By default, any disputes, claims, or controversies arising from or related to these Terms & Conditions or any KOA EXPERIENCE S.L. program shall fall under the jurisdiction of the courts of the organizer’s city in Spain.

However, the parties may mutually agree in writing to submit the matter to arbitration administered by the Spanish Chamber of Commerce Arbitration Tribunal or another arbitration body recognized under Spanish law, in accordance with Law 60/2003 on Arbitration and applicable European Union legislation governing package travel.

The arbitration agreement is voluntary and must be expressly accepted in writing by both parties.

Each party shall bear its own attorney’s fees and legal costs, except as otherwise provided by Spanish law. The company’s liability, when applicable, shall not exceed the limits established by the relevant insurance policies and by the applicable Spanish and EU legislation.

Participants and/or their guardians agree to address any concerns or complaints directly with KOA EXPERIENCE S.L. through official communication channels before resorting to legal action or alternative dispute-resolution mechanisms. They also commit to maintaining respectful and constructive communication, refraining from public actions or campaigns that could damage the company’s reputation.

23. Privacy

KOA shares personal information with providers delivering travel services. For questions about data handling, contact: info@koaexperience.com.

24. Use of Images

KOA may take photos or videos during trips for promotional purposes. Participation implies consent for KOA to use these images in social media, websites, or marketing materials. For minors, explicit parent/guardian authorization is required.

25. Travel Registration and Required Forms

Participants must appear on the official travel roster and submit all required forms (waivers, emergency medical releases, behavior contracts) to travel. By registering and submitting a deposit, participants and account holders agree to all KOA EXPERIENCE’S Trip Terms & Conditions.

26. Updates to Terms & Conditions

KOA EXPERIENCE S.L. reserves the right to update these Terms & Conditions at any time prior to registration. Once registration is completed and the reservation is confirmed, the Terms & Conditions in effect at the time of registration will apply to that specific enrollment. Any subsequent changes will only apply to future enrollments.

This document constitutes the entire agreement between KOA EXPERIENCE S.L. and the participant. No oral statements, promises, or representations not contained herein shall be binding.

In case of any discrepancy between translations of these Terms and Conditions, the English version shall prevail and be legally binding. A Spanish translation of these Terms is available for informational purposes only.
